Before you look at technical datasheets, get the Safety Data Sheet. For an Evonik SDS, use Evonik's official SDS search on evonik.com and download the current revision. Don't rely on a third-party aggregator site; you can't be sure you're looking at the latest version.
What I check: the revision date, sections 9 and 16, and the supplier's name and emergency contact. If the revision date is older than three years, I ask why. If the product was reformulated and the SDS wasn't updated, that's a red flag. I don't have hard data on industry-wide SDS errors, but based on the documents I review, my sense is that at least one in ten first submissions has something wrong. Usually it's a missing section or an old revision, not a total failure.
One thing I've learned: 'within industry standard' is not a specification. A vendor once told me a small viscosity drift was acceptable. We rejected the batch and added a viscosity range to the contract. The next delivery was fine.

Trade names are about as useful as nicknames. The drum says 'MDI' and people search 'what is MDI company?'—but in the chemical industry, MDI is not a company. Same with epoxy. 'Epoxy resin for river table' is not one product. It's a family of resins plus hardeners. The base resin might be bisphenol A or bisphenol F epoxy; the hardener might be a polyamine or a polyamide. If you don't know the combination, you can't verify cure time, glass transition temperature, or UV resistance.
I still kick myself for not asking a supplier for the CAS number on a 'generic' hardener. If I had, I'd have caught the change before we blended 8,000 kg. It didn't cure properly. We had to redo the whole batch, and our customer almost walked.
3. Check application compatibility before scaling up
This is where experienced formulators often skip a step. A resin that looks right on paper may behave differently on the line. For coating deposition by electric charge (whether electrostatic powder application or an electrophoretic dip process), the resin's resistivity, particle size distribution, and charge stability all affect film build. If you're changing suppliers or formulations, run a test panel with the exact batch. Don't rely on the datasheet alone.
For a river table epoxy, check pot life at your shop temperature, not at 25°C. A resin that gives you 45 minutes at 25°C can turn into 12 minutes at 30°C. I'm not guessing—I've paid for more than one redo.
Ask for test panels from the exact batch. If I had done that earlier, I would have seen the hardener issue before 8,000 kg went into production.
4. Read the regulatory and personal care news pipeline
For personal care ingredients, the marketing claim is not the spec. Suppliers reformulate for regulatory reasons more often than for performance reasons. I subscribe to every supplier update I can find—Evonik personal care news, for example—and I still miss some changes if I'm not checking the revision history.
I wish I had tracked ingredient changes more carefully from the beginning. What I can say anecdotally is that a preservative change can affect the feel, the fragrance, and the stability of a finished lotion. It doesn't have to be dramatic; it just has to be unverified.
Also, be careful with environmental claims. Per FTC Green Guides (16 CFR Part 260, ftc.gov/green-guides), a claim like 'biodegradable' or 'degradable' has to be substantiated. If a supplier gives you a one-line 'eco-friendly' statement, ask for the test method.
5. Use the batch number for traceability, not inventory
This is the step most buyers skip. The Certificate of Analysis should list the batch or lot number, and it has to match the number on the drums. Too many vendors send a 'typical CoA' with no lot identification. That's not a certificate; it's a brochure.
Keep a sealed sample from each batch and record the batch number in your production log. If a coating delaminates six months later, you can test whether it was the raw material or your process. If you don't have the sample, you'll be arguing with no evidence.
In our Q1 2024 quality audit, we found that about one-third of incoming batches had CoA-to-drum mismatches. We changed the checking procedure, and the number dropped close to zero. Not glamorous, but it saved us money.
Final notes: common mistakes and how to avoid them
A few things I still see on the receiving dock:
- Don't trust verbal promises about storage or handling. Get the storage temperature range in writing. One bad batch of resin had been stored below 10°C and the hardener formed crystals. The vendor said it was 'probably fine.' We rejected it.
- Don't assume a reformulated product is drop-in compatible. If the supplier says 'same performance, better compliance,' test it first.
- Don't confuse product categories with companies. When someone searches 'what is MDI company?', the answer in this context is: MDI is methylene diphenyl diisocyanate, not an organization. You're likely looking for a supplier of isocyanates, not a company named MDI.
- Don't ignore the SDS because the material is 'low risk.' Low-risk materials still have storage, disposal, and handling requirements.
What was best practice in 2020 may not apply in 2025. The fundamentals haven't changed—check the identity, check the paperwork, check the batch—but the execution has transformed. Suppliers update their SDS libraries, formulators follow personal care news, and coating deposition by electric charge is held to tighter tolerances than it was five years ago. That's a good thing. It just means you can't run on 'we've always bought from them.'
This checklist won't replace a real quality agreement. But it catches the obvious problems before they become expensive ones.
